Privacy Policy
This Privacy Policy explains how Hardyproof, LLC ("Hardyproof", "we", "us") collects, uses, shares and protects personal information when you use our website, our job request forms, customer request pages, and the business inbox and related tools (together, the "Service"). Using the Service is also subject to our Terms of Service.
The short version. Contractors ("Businesses") use Hardyproof to receive job requests and send quotes, proposals, invoices and receipts. When you send a request to a Business, your information goes to that Business and is stored by us so the Service can work. We do not sell personal information, we do not show ads, and we do not use tracking or advertising cookies.
1. Who is responsible for your information
Customers of a Business. If you submit a job request through a Business's form, that Business decides how your information is used to provide its services (for example, to quote, schedule and bill your job). Hardyproof processes that information on the Business's behalf as its service provider. For questions about how a Business uses your information, contact that Business directly.
Businesses and website visitors. For information about Businesses who use the Service, and people who request a trial on our website, Hardyproof is responsible for that information as described in this Policy.
2. Information we collect
Information you give us
- Job requests: your name, phone number, email address (optional), job address, the type of work, your description, timing preferences, language preference, how you want to receive documents, and any photos you upload.
- Proposal acceptance: the name you type to accept a proposal, and the date and time you accepted it.
- Payment notices: if you tell a Business you have sent a payment, the method and amount you report.
- Business accounts: names, email addresses, passwords (stored only in hashed form), business name, logo, colors, contact details, payment handles a Business chooses to display (such as a Venmo username or Zelle phone or email), and team members.
- Work records created by a Business: quotes, proposals, invoices, receipts, payments the Business records as received, job notes and job photos.
- Trial requests: your name, business name, trade, phone, email, service area, team size, plan interest and any message.
Information collected automatically
- Activity records: we keep a record of actions on each job (for example, request received, quoted, proposal accepted, payment recorded, request page opened) with the date and time, to provide the Service and an accurate history.
- Technical data: your IP address is used briefly to limit abuse (for example, too many requests from one connection). We do not store it with your request.
- Cookies and local storage: we use one essential cookie to keep Business users signed in. Your browser also stores small preferences on your own device, such as your language choice and links to requests you sent, so you can find them again. We do not use analytics, advertising or cross-site tracking cookies.
Photos. Uploaded photos are re-saved by us, which removes embedded information such as GPS location.
3. How we use information
- To deliver your request to the Business and show you its status on your private request page.
- To let Businesses quote, schedule, prepare proposals, invoices and receipts, and record payments.
- To send messages and alerts the Service provides, such as a new-request alert to a Business or a password reset email.
- To translate job descriptions between English and Spanish. Translation runs on our own server; the text is not sent to an outside translation service.
- To set up trial accounts and contact people who requested a trial.
- To keep the Service secure, prevent abuse, fix problems and keep backups.
- To comply with law and enforce our terms.
We do not sell personal information, share it for cross-context behavioral advertising, or use it to build advertising profiles.
4. How information is shared
- With the Business you contact and the people that Business invites to its account. A Business may limit what its employees can see.
- With you: anyone who has the private link to a request page can see that request, so keep the link to yourself.
- Service providers that help us run the Service, only as needed to provide it. These include our network provider (Tailscale), which carries encrypted connections to our server, Google Fonts, which delivers the typefaces your browser displays (your browser contacts Google to load them), and, when enabled, an email delivery provider for alerts and messages.
- Payments: Venmo and Zelle buttons open those services directly. Hardyproof does not receive or store card or bank account numbers. Your use of those services is covered by their own privacy policies.
- Legal reasons: if required by law, or to protect the rights, safety and property of our users, the public or Hardyproof.
- Business transfers: if Hardyproof is involved in a merger, sale or similar transaction, information may be transferred as part of it, subject to this Policy.
5. How long we keep information
We keep job records, documents and activity history for as long as the Business's account is active and for the period its plan provides, and then may keep them in an archive so a Business can recover its records, for tax and warranty purposes, and to resolve disputes. Trial requests are kept until we have followed up and for a reasonable time after. We delete or de-identify information when it is no longer needed for these purposes or when a valid deletion request requires it, unless we must keep it by law.
6. How we protect information
Connections to the Service use encryption in transit (HTTPS). Passwords are stored only in hashed form. Access to Business accounts is limited to invited users, and request pages use long, random private links. We keep regular backups. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
7. Your choices and rights
- Access, correction and deletion: you may ask for a copy of your personal information, ask us to correct it, or ask us to delete it. If your request is about information you sent to a Business, we may forward it to that Business, which is responsible for responding.
- Businesses can update their account details and export their data, as their plan allows.
- Depending on where you live, you may have additional rights under state privacy laws. We will honor those rights where they apply, and we will not discriminate against you for using them.
To make a request, contact us using the details below. We may need to verify your identity before acting on it.
8. Children
The Service is not directed to children under 13, and we do not knowingly collect their personal information. If you believe a child has provided us information, contact us and we will delete it.
9. Location of processing
The Service is operated in the United States, and information is stored and processed in the United States.
10. Changes to this Policy
We may update this Policy from time to time. We will change the effective date above, and if changes are significant we will provide notice on this page or by email to Businesses.
